Conferences, Forums, and Business Meetings

Business catering helps maintain a comfortable rhythm for meetings, negotiations, and exhibitions. The Concept Catering team organizes coffee breaks, business lunches, and gastronomic support for corporate events.

About Business Catering

Business Catering Formats

Several formats can be used during a single event:

  • Business breakfast before the program starts
  • Coffee breaks between talks and sessions
  • Business lunch or a full lunch break
  • Meals for speakers, team and organizers
  • VIP area service
  • Catering at an exhibition stand
  • Evening buffet or official reception

For multi-day events, the menu and serving formats can change while keeping the overall service structure.

Catering in the Event Schedule

Catering in the Event Schedule

The main feature of conferences and forums is the heavy load on the food area within a short time. Several hundred participants can go on a break at once, and half an hour later the program continues.

We calculate the capacity of food areas, the number of lines and stations, the serving schedule and staffing. If necessary, we separate the flows of conference participants, speakers, delegates and VIP guests.

The task is simple to state and harder in practice: feed everyone on time and get the program back into the hall without delays.

Exhibitions and Stands

Exhibitions and Stands

Catering at an exhibition can solve several tasks at once: serve stand visitors, support the team or become part of the brand presentation.

Depending on the format, we provide drinks and light snacks, a coffee station, meeting area service or a small buffet. In preparation, we consider the venue rules, equipment connection options, setup time and the exhibition organizers’ requirements.

[ Menu for Participants and Guests ]

The menu is shaped by the event duration, serving times and the audience. For multi-day projects, we try to avoid repeating dishes and keep the diet varied.

We collect information about dietary preferences and restrictions in advance. If necessary, we provide separate meals for speakers, VIP guests, the technical team and organizers.

Cost of Business Catering

Once the program is agreed, Concept Catering will prepare an estimate covering the menu and required services. The cost depends on:

  • Number of participants and event duration
  • Number of coffee breaks, lunches and other formats
  • Menu and drinks composition
  • Number of food areas and staff
  • Equipment, tableware and furniture
  • Venue requirements and logistics

Shall we discuss your event?

Tell us a little about your event — and we will prepare a starter proposal. It will only take a few seconds.

Specify the Event Details

Tell our assistant a few key parameters: the event format, number of guests, venue, and date. This is enough for the system to prepare a starter proposal.

Preliminary Estimate

Based on the parameters you provide, we will prepare a preliminary estimate: menu, service, logistics, and the approximate cost of the event. It only takes a few seconds.

Discuss the Project

After the preliminary estimate, a Concept Catering manager will contact you, clarify your preferences, and prepare the final proposal. We will help adapt the menu, service format, and event scenario.

Tell me a little about your event, and I’ll help you choose the menu and estimate the approximate cost. In which city is the event planned?

Here you will find answers to frequently asked questions. If you have not found the answer you need, please contact our manager manager@concept.catering

Yes. We provide catering for multi-day conferences, forums and corporate events.

We develop a coordinated daily programme covering breakfasts, coffee breaks, lunches, receptions and evening events. Menus can vary across the programme to keep the offering fresh.

We plan around attendee numbers, venue locations, break times and logistics, treating the event as one connected service rather than a series of unrelated deliveries.
Our service team adapts to schedule changes. The event manager stays in contact with organisers and aligns food service with the programme as it unfolds.

If talks run over or breaks move, we adjust the service sequence within kitchen capabilities and food-storage requirements.

Major changes to duration or scope may require additional approval. Our aim is to maintain service quality even when the day does not go entirely to plan.
Concept Catering works with corporate entities: we sign contracts, issue invoices and provide completion and accounting documents. We support electronic document exchange (EDI).

We are registered on major electronic procurement platforms and can participate in corporate tenders and purchasing procedures.

For repeat clients, we can agree on overarching terms and place individual orders under an existing contract, simplifying administration and future bookings.
Yes. A conference lunch need not involve traditional banquet service.

Depending on attendance, break length and venue facilities, we can arrange food-service lines, individual portions or another format suited to the programme.

The priority is a comfortable lunch within the allotted time, with manageable queues and no disruption to the conference schedule.
Yes. We consider changes even 24 hours before an event and, in some cases, while it is under way.

What we can accommodate depends on the scale of the change, preparation stage, ingredient availability and team resources. Late changes cannot be guaranteed.

They may also incur extra costs, which we agree with the client. The earlier you tell us, the more options we can offer.
We can include vegetarian dishes and adapt menus to individual dietary restrictions, including the exclusion of specified ingredients and allergens.

Organisers should ideally gather requirements in advance. We then agree on suitable dishes and preparation arrangements, with separate service where necessary.

This is particularly important at international conferences, where dietary preferences and requirements may vary widely.
Yes. We can adapt the catering area and selected menu items to the client’s visual identity.

Depending on the concept, options include branded desserts, drinks featuring a logo or corporate motif, themed table settings and linens. Feasibility depends on the menu, preparation techniques and lead time.

For complex structures or specialist décor, we can involve appropriate contractors.
